At Visa Nest, we strive to be transparent about our cancellation and refund procedures. As we act as an agent for third-party suppliers (airlines, hotels, tour operators), our ability to issue refunds is strictly governed by their terms and conditions, in addition to our own administrative policies.

Please read this policy carefully before making a booking. By making a payment to Visa Nest, you acknowledge and agree to the following terms.

Key policy summary

  • Initial deposits: Strictly non-refundable and non-changeable.
  • 7-day change rule: Changes within 7 days of booking incur a 20% admin fee (see section 2).
  • No-shows: 100% loss of payment (no refund).
  • Visa refusals: Our service fees are non-refundable once work has begun (see section 3).

Cancellations by you (the customer)

If you wish to cancel your booking, you must notify us in writing immediately via email to accounts@visanest.co.uk. Verbal cancellations by phone are not accepted as valid proof.

Refund eligibility depends on the type of service booked:

  • Flight-only bookings: Most discounted or economy flight tickets are non-refundable once issued. Taxes may be refundable, subject to an administration fee.
  • Package holidays: Cancellation charges apply based on how close to the departure date you cancel.
  • Hotel & car rental: Subject to the specific supplier’s policy (often non-refundable if booked at a saver or advance-purchase rate).

Administration fee: If a refund is permitted by the supplier, Visa Nest will deduct an administration fee of £50.00 per person (or 20% of the booking value, whichever is lower) to cover our operational costs.

Modifications & the “7-day rule”

We understand plans change. If you wish to amend your booking (for example change dates, names, or destination):

  • Within 7 days of booking: If you request changes within 7 days of your booking confirmation, Visa Nest reserves the right to charge an admin fee of 20% of the total rental or booking value. This is separate from any fees charged by the airline or hotel.
  • After 7 days: Standard supplier change fees apply (which can be up to 100% of the ticket cost for new tickets).
  • Name changes: Most airlines treat name changes as a cancellation and re-booking. You will be liable for the full cost of a new ticket.

Non-refundable items

Under no circumstances are refunds issued for the following:

  • Initial deposits: Any deposit paid to secure a seat or room is non-refundable.
  • Visa service fees: Once our team has started processing your visa application or booked your appointment, our service fee is consumed and non-refundable, regardless of the embassy’s decision.
  • Embassy fees: Money paid to consulates or embassies is never refundable through us.
  • Travel insurance premiums: Non-refundable after the 14-day cooling-off period (subject to your insurer’s terms).
  • No-shows: Failure to arrive at the airport, hotel, or embassy appointment on time results in a 100% loss of funds.

Cancellations by the supplier (airline / hotel)

If an airline cancels a flight or a hotel overbooks:

  • Your rights: You are usually entitled to a full refund or a re-booking option from the supplier.
  • Our role: We will process this claim on your behalf. However, we can only refund you once we have received the funds from the supplier.
  • Timeline: Airline refunds typically take 10–12 weeks to process, though this can be longer during peak times or global events. Visa Nest is not liable for these delays.

Refunds process

All refund requests must be directed to our accounts department.

  • Refunds are processed back to the original payment method only (to prevent fraud and money laundering).
  • We do not issue cash refunds.
  • Once approved by Visa Nest, funds may take 5–10 working days to appear in your bank account.

Chargebacks & fraud

Visa Nest takes financial fraud seriously.

  • If you initiate a credit card chargeback without valid legal grounds (for example simply changing your mind on a non-refundable ticket), we reserve the right to dispute the chargeback using this policy as evidence.
  • We reserve the right to recover any costs, legal fees, and administrative time incurred in defending unjustified chargebacks.

Changes to this policy

We may update this refund and cancellation policy from time to time. The “Last updated” date in the page header will change when a new version is published. For ongoing bookings, the version in place at the time you paid or confirmed your booking will usually apply unless we notify you otherwise.
